TERMS & CONDITIONS

These Terms & Conditions apply to services provided by CleanHoods TX. Approval of a quote, authorization of work, scheduling of service, or acceptance of services constitutes acceptance of the applicable quoted scope, pricing, and these Terms & Conditions.


1. Services

CleanHoods TX provides commercial kitchen exhaust system cleaning, commercial kitchen equipment cleaning, commercial pressure washing, and related cleaning and maintenance services. The specific scope of each service is determined by the applicable quote, estimate, work order, written authorization, or other documented agreement.


2. Commercial Kitchen Exhaust Cleaning

Commercial kitchen exhaust cleaning is an industrial degreasing process intended to remove grease and combustible deposits from accessible portions of commercial kitchen exhaust systems. Depending upon the authorized scope, service may include cleaning of hood canopies, filters, filter tracks, plenums, accessible ductwork, exhaust fans, fan housings, and related accessible components. CleanHoods TX uses commercial hot-water pressure-washing equipment and professional-grade degreasing chemicals as appropriate for the service. Cleaning is limited to components and areas that can be safely and reasonably accessed through existing hood openings, exhaust-fan openings, access panels, and other available system openings.


3. Scope and Pricing

Quoted pricing is based upon information provided by the customer and conditions reasonably known or observable when the quote is prepared. Unless specifically stated otherwise, quoted pricing assumes that the system or property is reasonably accessible and that the equipment or surfaces are in serviceable condition. Conditions including, but not limited to, excessive grease accumulation, severe neglect, hardened or carbonized deposits, inaccessible ductwork, missing or damaged access panels, unusual duct configurations, difficult rooftop access, structural deficiencies, installation defects, concealed conditions, or other circumstances requiring substantially additional labor, materials, equipment, travel, or service time may result in additional charges. CleanHoods TX will obtain authorization from an authorized representative before performing material additional work that will result in additional charges, except where immediate action is reasonably necessary to protect persons or property or where otherwise expressly authorized by the customer. Additional work may be authorized by text message, email, electronic approval, written approval, or other documented communication.


4. Recovery Cleaning

Severely neglected or heavily contaminated exhaust systems may require recovery cleaning beyond normal routine maintenance. Recovery cleaning may require additional labor, equipment, cleaning cycles, specialized access, or multiple service visits before accessible portions of the system can be restored to a condition suitable for routine maintenance. Cleaning removes accessible grease and deposits but does not guarantee restoration of permanently stained, carbonized, corroded, painted, discolored, damaged, or deteriorated surfaces to a like-new appearance. Structural, mechanical, drainage, slope, access, installation, or design deficiencies cannot necessarily be corrected through cleaning and may require another qualified contractor.


5. Customer Access and Preparation

The customer is responsible for providing safe and reasonable access to all areas and components necessary to perform the authorized service. This may include access to the kitchen, cooking equipment, rooftop, exhaust fans, ductwork access panels, electrical panels, locked areas, gates, and other necessary portions of the property. The customer is responsible for ensuring that necessary keys, access codes, alarm information, rooftop access, and entry instructions are available at the scheduled service time. Cooking equipment should be shut down and sufficiently cool to permit safe service. Food, utensils, paper products, loose items, and sensitive materials should be removed from the immediate work area before service.


6. Water, Electricity, and Utilities

Unless otherwise agreed in writing, the customer is responsible for providing access to a functional on-site water source suitable for CleanHoods TX equipment. Acceptable water access may include an exterior hose connection, utility-sink connection, or another suitable water source. The customer is also responsible for providing normal electrical service and reasonable drainage when required. Unavailable or unsuitable water, electricity, drainage, access, or other required utilities may result in delay, rescheduling, additional charges, or a return-trip charge.


7. Cleanup and Surrounding Surfaces

CleanHoods TX will take reasonable measures to contain the work area and will perform reasonable cleanup of grease, water, and cleaning residue generated directly by our service. Commercial kitchen exhaust cleaning is an industrial cleaning process. Despite normal containment procedures, some water or residue may reach surrounding floors or work areas. Final janitorial cleaning, detailed floor cleaning, polishing, restoration, or general kitchen cleaning is not included unless specifically stated in the authorized scope. CleanHoods TX does not routinely carry mops, mop buckets, or general-purpose floor-cleaning supplies. If final mopping is desired, the customer must make appropriate mopping equipment and supplies available. Routine exhaust-system cleaning does not include restoration-level cleaning of heavily contaminated backsplashes, walls, tile, stainless surfaces, or other surrounding kitchen surfaces unless specifically included.


8. Access Panels and Inaccessible Areas

Complete cleaning of an exhaust system requires reasonable access to applicable portions of the system.

If missing, damaged, obstructed, inaccessible, or improperly installed access panels prevent inspection or cleaning, CleanHoods TX may document the condition and recommend corrective access. Installation, modification, or repair of access panels, ductwork, exhaust fans, electrical components, fire-suppression equipment, or building components is not included unless specifically stated in writing.


9. Pre-Existing Conditions

CleanHoods TX is not responsible for pre-existing damage, defective equipment, improper installation, deterioration, corrosion, loose or deteriorated components, failing motors, bearings, belts, hinges, seals, roof curbs, ductwork deficiencies, structural defects, electrical defects, or other conditions not caused by CleanHoods TX. Grease and other buildup may conceal deterioration, corrosion, damage, leaks, defects, or other conditions that become visible only after cleaning. Discovery of a condition after grease or buildup has been removed does not by itself establish that the cleaning process caused the condition. Cleaning is not mechanical repair and does not guarantee continued operation of existing equipment.


10. Fire-Suppression Systems

Unless specifically included in writing, CleanHoods TX does not inspect, service, repair, reset, certify, or modify commercial kitchen fire-suppression systems. Work requiring a properly licensed fire-suppression contractor remains the customer’s responsibility.


11. Roof, Weather, and Safety Conditions

CleanHoods TX may postpone, suspend, or discontinue work when weather, rooftop conditions, electrical hazards, structural conditions, unsafe access, or other circumstances make service unsafe. CleanHoods TX is not responsible for pre-existing roof damage, membrane deterioration, leaks, damaged flashing, deteriorated curbs, structural deficiencies, or other pre-existing building conditions.


12. Travel and Return Visits

Additional travel, mobilization, or labor charges may apply when a return visit is required because of unavailable access, missing keys or entry instructions, unavailable utilities, customer-requested additional work, concealed or inaccessible conditions, customer-caused interruption or postponement, or conditions outside the original quoted scope. For jobs requiring substantial travel, CleanHoods TX may coordinate service with other scheduled work in the same geographic area unless a dedicated service trip is specifically requested and separately priced.


13. Scheduling and Cancellations

CleanHoods TX offers flexible scheduling when reasonably possible to minimize disruption to customer operations. At least 24 hours’ notice is required for cancellations or customer-requested schedule changes whenever reasonably practicable. Cancellations or changes made with less than 24 hours’ notice, failed access, unavailable utilities, or facilities that are not reasonably prepared for service may result in reasonable travel, mobilization, cancellation, or rescheduling charges. Scheduled arrival times may be affected by travel, weather, equipment conditions, prior jobs, emergency circumstances, or other conditions outside CleanHoods TX’s reasonable control.


14. Photographs and Service Documentation

CleanHoods TX may photograph or otherwise document exhaust systems, equipment, work areas, deficiencies, existing conditions, and completed work for service reports, quality control, customer records, code-related documentation, dispute resolution, and protection of both parties. Before, during, and after photographs may become part of the service record.


15. NFPA 96 and Compliance

Where applicable, CleanHoods TX performs commercial kitchen exhaust cleaning with reference to applicable NFPA 96 cleaning and maintenance requirements. CleanHoods TX’s cleaning documentation, service reports, photographs, or service stickers document services performed and conditions observed. Unless expressly stated otherwise, they do not constitute an inspection or certification by a fire marshal, Authority Having Jurisdiction, licensed fire-suppression contractor, engineer, or other regulatory authority. The property owner or operator remains responsible for maintaining the facility and its systems in accordance with applicable laws, codes, manufacturer requirements, and requirements imposed by the applicable Authority Having Jurisdiction.


16. Customer Inspection and Service Concerns

Customers should inspect completed work and review applicable After Service Reports promptly. Any readily observable concern regarding workmanship should be reported to CleanHoods TX within 48 hours after completion of service whenever reasonably possible.Conditions that could not reasonably have been discovered within that period should be reported promptly after discovery.CleanHoods TX will review legitimate service concerns related to the authorized scope and determine an appropriate response based upon the circumstances. A request for clarification, inspection, or correction does not automatically suspend payment for completed portions of the work that are not reasonably disputed.


17. Payment

Unless different payment terms have been expressly agreed to in writing before service, all invoices are Due Upon Receipt, and payment is expected upon completion of the authorized service. The customer is responsible for payment of all quoted charges and any additional charges subsequently authorized by an authorized representative. Payment is not contingent upon the customer’s internal inspection, approval process, reimbursement, payment from another party, or processing through its accounts-payable system unless CleanHoods TX expressly agreed to such terms in writing before service. A good-faith dispute concerning a specific portion of an invoice does not relieve the customer of the obligation to timely pay all undisputed amounts. Past-due balances may be subject to late charges or interest only to the extent provided in the applicable agreement and permitted by law. CleanHoods TX may suspend future service, decline additional work, or remove an account from routine maintenance scheduling while an undisputed past-due balance remains outstanding. The customer may be responsible for reasonable costs incurred in collecting amounts lawfully due, including collection costs, court costs, and attorney’s fees, to the extent permitted by applicable law.


18. Authorization

The person approving a quote, authorizing additional work, or otherwise directing CleanHoods TX to perform services represents that they have authority to approve the work on behalf of the customer or responsible business entity. Documented authorization for additional work becomes part of the service agreement and may be invoiced accordingly.


19. Changes to These Terms

CleanHoods TX may update these Terms & Conditions periodically. The version applicable to a particular service will be determined by the terms provided or made available in connection with that transaction, subject to any separately agreed written terms.
